Training Stamp

Go from participant list to certificates in every inbox, in minutes.

For trainers who want less admin and less room for mistakes

Upload the list, check the preview, click send. We handle the rest: one PDF certificate per participant, with your logo and your name on it.

After you confirm your address, we’ll email you once: when it’s your turn in the beta, or when we open the doors to everyone. How we handle your data.

Free to start · Data stays in the EU · No card

  1. Your listAny CSV, straight out of Excel. We flag a blank or a typo before anything goes out.

  2. One email eachFrom your name. Replies come to you, not to us.

  3. One reminder, before it lapsesFrom your name again, with a copy to you. Or just a reminder to you.

The course is done. The certificates are not.

A template to open. Every name typed in, or merged and checked. Every PDF saved under its own filename. Every email with the right attachment on it, and one reply-all you didn’t mean to send. One surname with an accent the template won’t take, or one certificate to the wrong person, and part of it starts again.

That’s the admin we take off your hands. You did the training. We’ll do the paperwork.

Coming soon

The reminder is the rebooking.

Fire safety, first aid, food hygiene, data protection, forklift, manual handling. If your courses have to be repeated, every certificate you issue carries a date when that person needs you again. Most trainers keep that date in a spreadsheet. Then they lose the spreadsheet.

Here, every certificate can carry a renewal date. Before it lapses, we send one reminder in your name saying the course is due again, and copy you, so you know who’s about to need a place. It’s the follow-up you meant to do, and it runs on its own.

One reminder per certificate, never more. Nothing goes to anyone who wasn’t told to expect it, and it stays off until you switch it on.

Renewal reminders aren’t switched on yet. They’re next.

  • Write the reminder in your own words, or use ours. Either way, it goes out in your name.
  • Renewal dates come from the course. Say “valid 24 months” on the batch, and every certificate in it has one.
  • Rather do the writing yourself? We can remind only you, with a list of who’s due.
  • Reminders are part of the Starter plan. On the free plan you see who’s due and when; the sending is what the plan is for.

Your logo, your colour, your wording.

Every design is a fixed layout you fill in. That’s why they keep looking professional whatever you put in them. Pick one, brand it once, and it carries across every course you run. Certificates come out in one of several languages, with the dates written the way that country writes them.

Classic Formal. Warm off-white stock inside a double gold rule, the name in a Garamond. For accredited and regulated courses.

What we won’t do.

We do one thing: certificates. So there are a few things we don’t do, on purpose.

EU data, plainly

Participant data never leaves the EU.

  • EU hosting

The app, the database and the certificate files all sit on European infrastructure, currently in France, with encrypted backups in Germany.

  • EU email delivery

Certificates reach participants through a European provider.

  • Deletion on request

If a participant asks, finding them, exporting what we hold about them, or deleting it takes a minute.

€20 a month, if you train most months.

Starter gives you 150 certificates a month, renewal reminders, saved templates and your own brand in every email, for the price of one participant’s lunch. Rather not pay through a quiet quarter? Buy a pack of credits and use it whenever. Fewer than twenty a month? It’s free.

The beta itself is free, within fair use. We don’t take a card, so nothing can start charging you when it ends. These are the prices we intend to charge at public launch.

Join during the beta and keep 20% off the annual plan, for as long as you stay. That’s 20% off the annual price of whichever plan you choose, on every renewal. Prefer credits? Your first pack gets the 20% off instead. We charge nothing before we’re out of beta, and nothing before we’ve asked you again.

Compare plans and credits

Made by a trainer who enjoys the training more than the admin.

“The certificate problem is not a market I researched. It’s the many evenings I wasted on it.”

Training Stamp is made in Cyprus and operates under EU data protection law.

Why would I pay monthly instead of buying credits?

Three reasons. Past about fifty certificates a month, the plan is cheaper per certificate. Your templates and brand are saved, so the next batch takes minutes, not an afternoon. And renewal reminders are part of the plans.

Under fifty a month, in bursts? Credits are the better deal, and the pricing page says so.

Will the certificates actually reach people, or land in spam?

This is the tricky part, and we take it seriously. Certificates go out through a specialist European transactional email provider, not a bulk newsletter tool, with SPF, DKIM and DMARC set up on our sending domain. They’re sent from your sender name, and replies go to your address, not ours. We never sit between you and your participants.

Email being email, things sometimes go wrong. So you get a delivery status for every recipient, and a resend button for any address that bounced or was mistyped.

What do my participants actually receive?

An email from your name with their certificate attached as a PDF. One email each, addressed to them. No group send with everyone’s address on show. If someone loses it, you resend to that one person from the batch view.

If a name is wrong, you correct it and reissue to that person alone. We void the old file, and nobody else hears about it.

Will my CSV work?

If your tool exports a CSV, it works. Eventbrite attendee exports, Zoom or Teams attendance reports, Google Forms responses, or a spreadsheet you keep by hand.

The only columns we need are a name and an email address. Everything else is optional, and you match your column headings to our fields on screen.

Can I put my accreditation number or a course code on it?

Yes. Templates carry placeholders for the participant’s name, course, date, trainer, hours and expiry date, plus text blocks for anything specific to you: a registration number, an accrediting body, a policy reference, CPD hours. What you won’t find is a free-form drag-and-drop canvas. Layouts have fixed zones, which is why certificates come out looking professional rather than homemade.

What happens to my participants' personal data?

It stays in the EU. The app, the database and the certificate files are hosted in France, with encrypted backups in Germany, and certificates go out through a European provider. We never sell it, share it, or use it to market anything to your participants. They signed up with you, not with us, and we don’t treat them as if they had.

You can find any participant, export everything we hold about them, and delete them. That’s in from day one of the beta.

Want in on the beta?

We’re looking for trainers who issue certificates most months and are tired of doing it by hand. Beta trainers send real certificates to real participants, free of charge, and decide what we build next.

One email when it’s your turn. No newsletter, no drip campaign.

After you confirm your address, we’ll email you once: when it’s your turn in the beta, or when we open the doors to everyone. How we handle your data.
